Password Management – Manage Delegates (Only ROW)

Modified on Tue, Oct 13 at 4:29 AM

Purpose/Overview

The Manage Delegates feature allows users to assign delegation access to another user, enabling them to act on their behalf for a defined period. This is especially useful during planned absences, workload sharing, or temporary responsibility transfers. It ensures business continuity by allowing authorized users to manage tasks without interruption.

To access this feature: My Preferences > Manage Preferences > Manage Delegates Panel

Things to Know:

  • Only authorized users with appropriate permissions can assign delegates.
  • Delegation is time-bound and requires an expiration date.
  • The Active checkbox controls whether the delegation is currently enabled or disabled.
  • If the delegation expires or is deactivated, the delegate will no longer have access.

Key Benefits/Use Cases:

  • Temporary Absence Coverage: Assign a delegate when you are on leave to ensure tasks are handled without delays.
  • Workload Distribution: Share responsibilities with team members during high workload periods.
  • Operational Continuity: Prevent disruptions by allowing another user to act on your behalf when needed.

How It Works:

Follow these steps to set up or enable delegation:

  1. Select Agent Name
Choose the user you want to assign as a delegate from the dropdown menu.
  2. Set Delegation Expiration Date
Click the calendar icon and select the date until which the delegation should remain valid.
  3. Activate or Deactivate Delegation
Check the Active checkbox to enable the delegation.
Uncheck it if you want to disable the delegation.

FAQ/Troubleshooting:

Q: Why is my delegate unable to access my tasks?
A: Ensure the delegation is marked as Active and the expiration date has not passed.

Q: Can I assign multiple delegates?
A: This depends on system configuration. If multiple selections are not available, only one delegate can be assigned at a time.

Q: What happens after the expiration date?
A: The delegation is automatically disabled, and the delegate will lose access.
