Introduction
This article provides instructions for configuring and using the Absent User Notification feature in your system. This feature allows supervisors to be automatically notified via email when a user is absent from their scheduled work time.
Admin: Responsible for configuring user settings and notifications.
Location of Change
Administration – Users – User Details: The settings for this feature are located in the user details section of the administration settings.
Configuration Steps
Step 1: Access User Details
- Navigate to the Administration section.
- Select Users.
- Choose the user you wish to modify.
- Click on the Modify User page.
Step 2: Select Supervisor
- In the Modify User page, select the supervisor for the user.
- When a supervisor is selected, two additional fields will appear.
Step 3: Enable Notification
- Checkbox: Select the checkbox labeled Notify supervisor when user is absent.
- This checkbox will be hidden/disabled if the user has no supervisor.
- If a supervisor is specified, the checkbox will be available to enable (default is blank).
Step 4: Configure Notification Delay
- Number Field: When the notification is enabled, a follow-up number field labeled Hours after scheduled start time to send notification will be displayed and required.
- Enter the number of hours after the scheduled start time to send the notification. Decimal values are accepted (e.g., "1.5" hours).
Step 5: Save Changes
- Click the Save button at the bottom of the page to apply the changes.
Notification Trigger
- When a user is scheduled to work and has not checked in nor performed any responses between their scheduled start time and the configured number of hours after, the absent user notification will be sent to the supervisor’s primary email address.
- The notification will state: “[User Full Name] is absent: they were scheduled to start work at [Scheduled Start Time].”
API Integration
- The newly added user fields will be available to be read and set via API.
