Photo Validation and Automated Review Checks


Purpose/Overview

In this article, you will learn how photos submitted on a ticket are automatically reviewed and validated. This automated photo review process helps ensure submitted images meet required quality, location, and marking standards before they are accepted. By applying consistent checks, Utilisphere reduces manual review effort, improves data quality, and supports accurate ticket-level validation.

This feature is intended for organizations that require photo evidence on tickets and want to enforce consistent photo standards across submissions.


Photo validation results are available directly on the ticket record where photos are submitted.


Things to Know:

  • Sequential Review: Photos are reviewed through a series of validation checks in a specific order. If a photo fails a check, remaining checks are skipped.

  • Configurable Checks: Some validation steps may be enabled or disabled based on your organization’s Utilisphere configuration.

  • Single Failure Reason: Only the reason for the failed check is recorded.

  • Ticket‑Level Impact: Individual photo results contribute to the overall validation status of the ticket.

How It Works:

When a photo is submitted to a ticket, Utilisphere reviews it using up to four validation checks, performed in sequence.


Photo Content Check

Utilisphere first verifies that the submitted file contains valid image data.

  • Empty or corrupted files are rejected immediately.
  • No additional checks are performed if this step fails.

Duplicate Detection (Optional)

If enabled for your organization and the photo passes the Photo Content Check:

  • The photo is fingerprinted and compared to previously submitted photos under the same account.
  • If an identical photo is found, it is rejected as a duplicate.
  • The rejection message includes the original ticket number and filename.
  • Location and Markings Verifications do not run for duplicate photos.

Location Verification (Optional)

If the photo passes Photo Content Check and Duplication Detection, Utilisphere attempts to verify where the photo was taken by checking for location data in the following order:

  1. GPS coordinates printed directly on the photo
  2. Location data embedded in the photo’s metadata
  3. The job site location recorded on the ticket

Location validation behavior:

  • If no location information is found, the photo is rejected.
  • If no distance limit is configured, the photo automatically passes.
  • If the job site boundary is not defined on the ticket, the photo automatically passes.
  • If the photo was taken outside the allowed distance, it is rejected and the recorded distance and allowed limit are included in the rejection message.

If this step fails, Markings Verification does not run.


Markings Verification (Optional)

If the photo passes all prior checks:

  • An AI model analyzes the image to determine whether required utility markings are visible.
  • The model generates a confidence score.
  • If the score meets or exceeds the configured threshold, the photo passes.
  • If the score falls below the threshold, the photo is rejected.

Outcomes

After review is complete:

  • Every photo is marked as Valid or Invalid.
  • Invalid photos include a reason explaining which validation step failed and why.
  • Valid photos include a summary of what was successfully confirmed during review.

At the ticket level:

  • A ticket is considered passing once it meets the configured minimum number or percentage of validated photos.
  • Ticket‑level photo validation can support downstream workflows and decision‑making in Utilisphere.


FAQ/Troubleshooting:

Q: Why does my photo show only one failure reason?
A: Utilisphere runs photo checks sequentially. When a photo fails a check, remaining checks are skipped, and only that failure reason is recorded.

Q: Why was my photo rejected as a duplicate?
A: If duplicate detection is enabled, Utilisphere compares new photos against previously submitted images within the same account and rejects identical files.
