Currently, Training allows registrants to enter their organization/group name; however, if they don't select the matching value from the dropdown, it creates a new, duplicate value, or some portion of their name which makes assigning content and overall management challenging.
Would it be available instead to only allow selections from the existing dropdown (a pre-chosen list) and then if a registrant selects an option like 'not in this list' or otherwise, has to opportunity to create a new organization, get it validated and then added to the dropdown. this would make managing the people and groups much simpler (especially when you're managing a platform for 60k+ users) as the alternative requires significant manual effort to add those users from the duplicates to the main account, delete them from the duplicate, and then delete the duplicate itself. This would only be manageable if we put some sort of change management solution in place to prevent this going forward.

This is helpful feedback, Aimee! I will share with our Design team and see if we can identify adjustments to this we can interject into the roadmap!

The user currently has to actively click on the match to the org/group they want to select. Many users are bypassing that click and in turn, creating a new group that is a duplicate of the group they intended to join (sometimes that is just the first few letters of the group they thought they selected). This causes an issue because it is happening so much that by the time we are reviewing these duplicated groups, there students in there that need to be individually and manually changed to the correct group and deleted out of the duplicated group in order to delete/remove the unnecessary groups. Since there is no hierarchy in group structures, any person in an admin role with all group access, and anyone that got in without being assigned to a group also appear in these duplicated groups. There is also no way to export the group member list, causing another manual time consuming sorting.
I do have some ideas for during registration to alleviate a majority of the duplicated groups. One idea being that it is a separate popup box with the list of groups for them to pick from based on the matches of what they typed in. This could make it so they cannot bypass selecting a match and you could have an option that says, "none of the above," so that their typed in group remains in the same process as today.

Great feedback. I think some of what you are saying is actually already in place. When a user is entering their organization/group name, is does show a selection of existing groups they can choose from. If they ignore the options and continue to create their own company name, it will do a lookup at the time they create it. If the system finds a match to their organization, it does not create a duplicate... it will add them to the existing. If it does not find a match, it will add the organization in a 'Waiting for Approval' state, and then notify whatever admin is configured in the notification settings that a new organization has been created. At that time, if the new organization is not legitimate, the system admin can reassign the user to the correct org, and delete the pending org.
It's not a perfect situation, we certainly can revisit. We did have an approval process before, the challenge was the timing: customers at large did not want to hold back student from being able to move forward with training while they were reviewing a pending organizations. (Especially if you are a company admin that is registering multiple people from your company.) So we implemented the 'Waiting for Approval' process to indicate new organizations from a system admin perspective, but do not prevent students from registering into that organization while waiting on a system admin.
Let us know your thoughts and if this is a step towards your idea!
